As we handle constituent forms with the join box checked, should we enter into the action tracker their contact with legislator - individually, as a group? I do not recall seeing that advice as we collect letters for new members.
@Bob James I just checked the action tracker support articles and you're right that the answer to your question is not easily known by what's in the help articles. I think the answer could be buried in the “how to use the action tracker" video, but that’s not good. We'll add this to our list of support articles we need.
To answer your question, there are a couple of options:
- Not the best option - Log each individual letter for each person.
- Better option - Enter them as a group and then add everyone who signed as a participant to that action.
For option #2; Log an Action>Contact with Legislator>Next>Personal Letter>Select the MOC from the dropdown list and enter the number of letters for that MOC. If you have letters for another legislator, click the “Add Legislator” button and enter the number of letters for that MOC. When you've entered all of your letters, click “next” and add each CCL volunteer as a participant to the entire action.

To give each active member an action tracker history item would require option #1.
I think it is also important to include the total count of letters delivered. Not everyone will be a member and have it tracked somehow too perhaps like the #Conversations experienced at an outreach event.
So, I think I am leaning toward entering an action for each member who wrote the letter and including in the delivery action by the liaison (or designated person) the total number of letters/signed forms delivered.

By the way, is the focus of using the Hello! from you constituent intended primarily for the Representative 1st and then if someone also wants to write to the Senators select the appropriate form or is the primary target just the House members?

@Bob James You're correct that entering them separately gives each person a separate action tracker record (row). I would like to clarify that, regardless of the approach, participants receive the same number of engagement points.
The primary reason we used a generic greeting was to make our materials evergreen. So it’s perfectly fine to use the version that supports protecting the clean energy tax credits for both House and Senate Republicans.
